Position Summary
Under the guidance of the Faculty Director, the Administrative Coordinator provides administrative support for the Center of Archaeology students, faculty and activities. The incumbent assists with financial transactions, student support and faculty support, and helps coordinate and address the administrative and logistical needs of the Center.
Responsibilities
Specific responsibilities include:
Working in the ARC and other University financial systems, initiating interdepartmental funds transfers, initiating voucher transactions, check requests and other payments; processing reimbursements for staff and faculty (CONCUR etc.); supporting procurement using a University Purchasing Card (P-card); setting up new University payees ("Vendors"); monitoring current & pending spending for projects.
The Administrative Coordinator provides student support for the interdepartmental majors; answering all inquiries concerning the Center's majors; directing students to the appropriate faculty; coordinating the admissions process; organizing and participating in orientation, assisting in general registration; maintaining the confidential records of registered students and reviewing records regularly to determine degree eligibility and status; working closely with other university student services offices; interpreting and explaining policies and requirement procedures; preparing reports which include, but are not limited to, admissions data; compiling student information for faculty reviews on an annual basis; and assisting the Director of Undergraduate Studies with administrative tasks.
The Administrative Coordinator will assist in archaeology-related communications, including updating and posting on Center's website, compiling and distributing newsletters and other social media outreach efforts.
The Administrative Coordinator will provide scheduling and other similar support to faculty associated with the Center, coordinating and setting up Center events, helping organizers with logistical support, including booking and setting up rooms, arranging meals, accommodation, travel and honoraria.
The Administrative Coordinator will perform other duties as assigned. This is a part time (15 hours per week), non-benefits position.
Minimum Qualifications
- High school diploma or its equivalent.
- Three years related experience.
Preferred Qualifications
- Some College preferred. Knowledge of archaeology/history/anthropology preferred.
Position Specific Minimum Requirements
- Excellent organizational, interpersonal, and communication (verbal and written) skills required, including strong proofreading and editorial skills.
- High level of attention to detail required. Must be able to work independently and flexibly as workloads shift and priorities change.
- Must be highly responsible and able to maintain confidentiality.
- Must be comfortable working with international scholars.
- Availability to work occasional evenings or weekend hours to support workshops and conferences is necessary.
- Strong computer proficiency, including Excel, required, including web experience.
